User Profile Set Up Fee

This is a one-time per user fee when setting up additional users on the Avionte Subscription Service.

Recruiter Module (Included with base subscription)

The Recruiter Module is a web-based application for your recruiters and sales force. This platform is completely mobile responsive design.

The Recruiter Module allows users to:

  • Track daily activities anytime, anywhere and from any device – even voice to text your notes on the go.
  • Perform advanced Boolean searching, paired with dynamic filters to find the most relevant results
  • Leverage industry standard resume parsing technology that quickly creates talent record upon application
  • View talent profiles to quickly email, call, view order history or log a message – in the office or on the go
  • Click on the map icon to simply find a customer’s location on your device’s map app
  • Recruiters streamline their communicate with talent by sending requests or packets through the Recruiter Module for talent to complete on the Talent Module

Talent Module

The Talent Module helps ensure that you attract more talent and place the best talent with a streamlined and mobile responsive application and onboarding process.

The Talent Module offers:

  • Quick Apply application workflow option that makes it quick and easy for talent to apply
  • Seamless user experience from finding an open position to applying and completing onboarding tasks - all which can be done on any device
  • The option of creating unique Application Workflows that allows your team to easily qualify candidates based on education level, certifications, specialized skills, etc.
  • Assign onboarding tasks for talent to complete
  • Mobile optimized applications - up to 30 applications with integrated social media
  • Includes the Employee Portal and Application Workflows functionality.
  • Easily create onboarding packets to allow your recruiters to quickly send the required information you need from your talent.
  • Provides your talent a Home page where they can view profile information such as their address, direct deposit information, etc.

Employee Portal

Secure portal login that allows your employee the option to view the following:

  • Assignment details – such as their worksite address, safety notes, dress code, etc.
  • Their pay history and be able to print their paystubs directly from the portal
  • See and print their W2’s
  • Submit time electronically

Job Board Module (5, 15, 30)

With the Job Board Module, you can setup personalized job boards to suit your unique business need and target audiences.  This module as will improve your candidates’ experience to allow them to search your job postings on any device.

The Job Board Module allows users:

  • Flexibility to ensure your job boards meet both business and brand standards through editing colors, logos and themes
  • Create multiple postings for one order, allowing you to tailor the posting to specific audiences and capture a larger pool of potential candidates
  • Easy, simplified apply process for talent from viewing job postings to completing the application process
  • Mobile optimized website job boards - up to 30 job boards with job search/filtering and SEO friendly URLs
  • Manage job boards at any time from any device. Simply sign in to the module to make adjustments, add / edit a new job board.
  • Integrated social sharing so users and talent can share your open positions on social media channels such as Facebook, LinkedIn and Twitter
  • Can be upgraded to 15 or 30 Job Boards
  • To take advantage of the Google for Jobs integration to increase your brand exposure.

Customer Portal

Secure portal login that allows your customers the option to view the following:

  • Create new orders directly from this portal
  • View candidate information as well as the progress in completing their orders
  • Easily view and print their invoices
  • See their payment history as well as their AR balance
  • Generate customer specific reporting
  • Approve employee’s time electronically or directly through an email notification

E-Signature Documents powered by Adobe Sign (250, 1000, 5000, 5000+)

E-Signature Documents powered by Adobe Sign is a paperless, mobile friendly document solution integrated into the Avionté Subscription Service.

E-Signature Documents powered by Adobe Sign includes:

  • Unlimited Document Creation by client
  • Branded Talent Home Page
  • Send Documents for signature
  • Field Mapping to Avionté
  • Real-time Audit Trail
  • Multi-lingual support

The monthly fee is based on the actual number of completed documents signed and processed through the service.  The service is available in monthly completed document bundles of up to 250, 1000, and 5000 completed electronically signed documents.  An Unlimited completed document bundle is also available.

If usage exceeds contracted amount for two consecutive months, client will be moved up to the next level bundle.

Integration Services

Client can elect to utilize integration services via the Avionté Integration Platform.  Avionté will maintain an active standard integration for IBM Assess on Cloud and E-Verify.  The support for these services are included in the Integration services bundle.

Aviontè ACA

Avionté ACA contains data capture, compliance and notification tools to help clients ensure they are fully prepared for ACA tracking and required reporting.

Aviontè ACA is designed for staffing companies and allows users to: 

  • Eliminate manual tracking by having payroll and ACA in one system
  • Determine the length of measurement periods that best align with your tracking requirements
  • Leverage complicated breaks in service and rules of parity logic
  • Setup multiple insurance plans based on your offerings for your various employee groups
  • Stay on top of coverage offers through alerts that show full time employees needing insurance offers
  • Easily upload insurance enrollments and declinations using our standard import format
  • Have flexibility with 1095-C printing, either in-house or through our Greenshades integration
  • Leverage Greenshades Integration to e-file forms with the IRS
  • ACA Add-on Reporting - is a separate price per report fee annually

Who is this service ideal for?

  • Clients doing business in the United States
  • Clients that are “applicable large employers” under the IRS and need to do ACA IRS reporting of form 1095-Cs.
  • Clients must have W-2 employees and process payroll in Avionté

Greenshades - Client Self Service Payroll Tax Filings

Avionté partners with Greenshades who handles the quarter-end and year-end formatting of the files needed to upload to the federal and state websites. A data feed in Avionté is used to pass the necessary data from Avionté to Greenshades, and Greenshades will create the returns. Greenshades has limited power of attorney in which they can file the 941, 940, and Federal W2 for your convenience.

Maintenance Archival Fee

Customers who have decided to terminate their service may continue to access their historical data using the Avionte platform in a read only environment. 

General Ledger Feed

Avionte offers a General Ledger feed that will allow you to map the data produced in our system to the accounts setup in your accounting software. This feed avoids manual entry into your accounting software so that you can easily produce your P&L statements. Note that Avionte can map your data to any accounting software package you choose to use; however, the most common ones are QuickBooks, Sage, and Great Plains.

Time Management - Time Clocks

Avionte offers a web based time clock options that is fully integrated into our platform. This allows you to easily capture time electronically from your employees with date stamp and time.

Custom Reports – at a billable expense based on your hourly rate.

Custom Feeds – at a billable expense based on your hourly rate. 

Aviontè University

Aviontè University is on online training portal that allows individuals to access all of the Aviontè products and services training modules and quizzes in one place.

Avionté provided Payroll Tax Assistance Services (Weekly & Quarterly)

After your team processes payroll, the payroll tax team at Avionté acts as an extension of your back-office team to help deposit payroll taxes timely and accurately.

The Payroll Tax team is comprised of payroll and tax professionals that assist clients through:

  • Electronically filing and remitting payment for unemployment, state withholding, locals, federal, including 1094-C/1095-C, 941, 940, W-2, 1099-MISC
  • Making semi-weekly, semi-monthly, monthly, and quarterly deposits
  • Performing annual reconciliations
  • Consulting on payroll process and tax reconciliation
  • Providing best practice recommendations for avoiding penalties
  • Troubleshooting Avionté & Greenshades tax questions

Payroll Tax Assistance helps clients by combining tax knowledge and proven processes to offer clients peace of mind that their electronic tax filings are completed timely and accurately.

  • Consultation with Client’s Key Implementation Employees to cover Guidebook and preparing for critical implementation items. - 2 hours

SVP 20 plus User Kick Start Program

  • Customized SVP Kick Start Webinar presented to Client Executive Team/Key Implementation Employees. Includes Webinar presented by an SVP Partner and Q&A session - 1.5 hours
  • SVP Kick Start Guidebook - Outlines the processes needed to better prepare for and support an Avionté software implementation.
  • Kick Start Guidebook review and consultation with Client’s Executive Team/Key Implementation Employees. An SVP Partner will work with Client to help structure their internal implementation team and plan utilizing the Kick Start Guidebook. Ongoing support services intended to assist you in optimizing your use of Avionté’s offerings, including adapting to the changing needs of your business and industry.

24/7 Accelerator

Short-term bootcamp experience intended to jumpstart your use of Avointé’s offerings. The Customer Success team will assist you in encouraging rapid adoption of Avionté Talent Enablement products, with the goal to help you realize immediate return on investment from those products.

Avionté Implementation Services

The standard Implementation Services included in the Set-Up Costs cover:

  • Avionté Services standard configuration and set up
  • Project management from a designated Project Manager during Implementation
  • Web portal configuration and standard set up for purchased Modules
  • Support for Standard Avionté G/L Feed and Payroll Feed
  • Data Conversion:  One Avionté assisted database conversion
    • Includes up to 3 complete uploads of historical conversion data
    • Includes data verification assistance from reports provided by client
    • Parallel Testing (up to 3 complete parallel processing weeks)
    • Additional database conversions

Training

The following standard Training services are included in the Set-Up Costs:

  • Standard new user training package: web-based training provided by an Avionté Product Trainer tailored to contracted modules and services during the Set-Up phase
    • If onsite training is selected by Client, the travel costs for an Avionté trainer will be billed separately
    • A la carte, fee-based training courses available for additional new Users post Set-Up

Avionté Teams

Account Management

The Avionté Account Management team is responsible for the overall client experience and is dedicated to driving client satisfaction and growth by developing a strong working relationship and understanding of each clients’ unique workflow and needs.

The Account Management team is a team of experienced Strategic Account Executives that are responsible for:

  • Consulting with clients on recommended partnerships, growth strategies, enhancement requests and product utilization
  • Meeting regularly with clients to touch base on ever-changing business needs
  • Working with other Avionté teams to escalate issues and drive client satisfaction

Strategic Account Executives are partnered with every client as they move from Implementation 

Client Support

The Client Support team assists clients in need of technical assistance; handling incoming client requests and providing a high level of customer service.

Client Support Advisors are on the front line of client communication as they respond to phone calls and Support tickets. They are responsible for:

  • Managing all incoming Support tickets
  • Providing answers to client requests by sharing extensive product knowledge and links to existing training material
  • Gathering vital information to help troubleshoot technical issues
  • Triaging support escalations to applicable team within Avionté

Client Support is available Monday through Friday from 7 am to 7 pm Central time.

The Customer Success Team provides Premier Success and 24/7 Accelerator Services. The Customer Success Team’s goal is to achieve successful client use of Avionté's products and services. Committed to guiding clients throughout their journey, the Customer Success Team plays a pivotal role by:

  • Collaborating closely with clients to understand their needs, goals, and challenges
  • Developing tailored success plans tailored to each client's unique requirements
  • Providing ongoing guidance, support, and training with the intent to optimize the client’s use of Avionté solutions

The Implementation Team is responsible for ensuring clients are set up for success with Avionté by providing guidance through the entire implementation process, from inception to going live with Avionté.

The Implementation Team consists of knowledgeable Project Managers that will guide clients through implementation by:

  • Managing project scope, costs, schedules and deliverables
  • Providing project outline and explanation of work
  • Consulting on best practices and product capabilities
  • Ensuring milestones are met to help clients have an on-time implementation
  • Directing clients to appropriate teams within Avionté

Technical Services

Technical Services is a team of skilled technical resources that support clients with data conversions and updates, as well as technical customization requests.

Training Services

The Training Team is comprised of product experts responsible for the design, creation, and delivery of online and in-person product education.

The Training Team uses product expertise, industry knowledge, and client workflow wisdom to craft standardized and customized learning paths for new and existing clients.
